How long does provisioning take?
Usually a few to a dozen or so minutes after the payment clears. The server is built automatically, and the status on its card in the portal moves through: Awaiting payment → Queued → Provisioning → Installing → Running.
Where do I find my Nextcloud sign-in details?
You receive the admin username and password only in the "Your NextCloud is ready" email. The WebDisk portal does not show the admin password. Keep that message, or set your own password in Nextcloud straight away. If the email has gone missing and you do not know the password, see "I forgot my Nextcloud admin password" further down.
Do I have to confirm my email address?
Yes. We send the activation link in the "Activate your WebDisk NextCloud account" message and it is valid for 48 hours. Without confirmation within 7 days the service is suspended and the server stopped — until you click the link. If the activation link has expired, request a new one via "Forgot password?" on the sign-in screen; it works the same way and also confirms your address.
Can I change my address (subdomain)?
You choose the subdomain when you order and you cannot change it yourself in the portal. You can, however, connect a custom domain at any time — see Using Nextcloud. If you really do need a different *.next.webdisk.io subdomain, write to us via "Report a problem".
Where is the customer portal?
At https://next.webdisk.io. It is separate from your Nextcloud — the portal is where you manage the service, not your files.
Do I use the same password for the portal and for Nextcloud?
No. These are two different accounts. Your WebDisk portal password is shared across all WebDisk services (Files, Send, VM, Nextcloud). Your Nextcloud admin password arrives separately, in the "Your NextCloud is ready" email.
How do I change my portal password?
There is no change-password field in the portal. You set a new one via "Forgot password?" on the sign-in screen — we will send you a link. The change applies across all WebDisk services; details: Changing your password.
Can I turn on two-factor sign-in?
Yes. Click "Profile" in the portal header and find "Two-factor authentication" in the "My profile" dialog. Click "Enable 2FA", scan the QR code with any TOTP app (Google Authenticator, 1Password, Bitwarden and so on), type in a code and click "Verify and enable". From then on we will ask for a 6-digit code when you sign in. You can turn it off again with the "Disable 2FA" button.
Can I change the plan or expand storage?
Yes, you do both yourself in the portal, in the "Expand subscription" section. The plan can be changed up or down, but every change restarts the server (a few minutes of downtime). Storage can only be increased, up to 100 TB, and it happens with no interruption to the service. The server must have the "Running" status, and we email you when it is done. How do I pay for the service?
One subscription per server, renewed automatically; payments are handled by Stripe. The price is made up of the plan (power) and the storage (TB), and you choose the currency — PLN, EUR or USD — when you order. The amounts quoted are net; 23% VAT is added at payment. You can see the amount and date of the next charge in the portal, in the "Subscription" section, on the "Next charge" line.
Where do I find my invoices?
In the portal, under "Invoices" — a list with the number, date, amount and status, plus a "Download PDF" button. Invoices appear after a paid period, and only if you have entered a VAT / NIP number in the "My profile" dialog and ticked "I'd like an invoice (VAT)".
How do I change my payment card?
There is no such option in the portal — write to us via "Report a problem" and we will help.
What happens if a payment fails?
First you get the "Payment overdue — WebDisk NextCloud" email; we send reminders daily. If the arrears are not settled:
⚠️ The deletion after 14 days cannot be undone — at that point we have nothing left to restore the data from. If you see an overdue-payment email, act straight away; report a card change via "Report a problem".
My account is suspended — can I still contact you?
Yes. While suspended, the portal shows a warning at the top and blocks self-service actions, but the "Report a problem" form works as normal.
How do I cancel?
In the portal, in the "Subscription" section, click "Cancel subscription" and confirm. The server runs until the end of the paid period; you receive the confirmation and the expiry date by email.
What happens when the period ends?
At the end of the paid period the server and all the data on it are deleted. Download your files from Nextcloud before you cancel.
I have changed my mind — can I undo the cancellation?
Yes, up to the end-of-period date. In the same section of the portal, click "Resume subscription".
Are backups taken?
Yes — one snapshot a day, at night; by default we keep the 7 most recent, and older ones are rotated out. A snapshot covers all of the server's disks.
How do I restore data from a backup?
You do it yourself: portal → server card → "Snapshots" section → pick a snapshot with the READY status → "Restore" → confirm. The full instructions are on the Using Nextcloud page. Restoring overwrites the current state of the whole server.
Can I take a backup on demand?
Not from the portal — snapshots are taken automatically at night. If you need a fresh backup before a risky operation, write to us via "Report a problem".
Where is my data?
On our own infrastructure in Europe. Every customer has a separate, dedicated machine — your data is not mixed with anyone else's.
Is the connection secure?
Yes. Your Nextcloud runs over HTTPS (the padlock in your browser) and the certificate is issued automatically — including after you connect a custom domain.
Who updates my Nextcloud?
We do. We schedule updates on our side and let you know by email in advance ("Planned maintenance for your NextCloud") — with the maintenance window and the target version. There is nothing for you to do; when it is finished we send the "Your NextCloud has been upgraded" message.
How do I know which version I have and whether anything is scheduled?
The server card in the portal has the "NextCloud version" and "Planned maintenance" entries (when nothing is scheduled you will see "No maintenance planned."). While the work is under way, the server status reads "Upgrade scheduled" or "Upgrading".
Will Nextcloud be unavailable during the maintenance window?
There may be a short interruption — which is why we tell you about it in advance. We also take an additional internal snapshot of the server right before the update.
Is this a full Nextcloud?
Yes — a standard, complete Nextcloud, not a cut-down version. You get files, sharing, the app store (where you can turn on calendar, contacts and more in one click) and the official desktop and mobile apps. As the administrator you create users and install apps — some apps do, however, need separate servers or will not work on this installation (see the questions about apps below). Can I use my own domain?
Yes — and you set it up yourself in the portal, in the "NextCloud domain configuration" section. Step-by-step instructions are on the Using Nextcloud page. You only need our help if DNS does not propagate or the certificate is not issued.
Can I install any Nextcloud app I like?
As the administrator you install apps from the app store in your own Nextcloud, and most of them — such as calendar, contacts, notes, tasks or forms — work straight away. Three caveats:
Do chat and video calls work (Nextcloud Talk)?
Talk is not part of the service — it is one of the apps from the app store, so the caveats in the question above apply. Chat works without any extra configuration. Audio and video calls connect participants directly to each other, so without an additional server they only work well in small groups — Talk itself warns that without the "High-performance backend" it is only suitable for very small calls (2–3 participants). If one of the participants is on a network that blocks direct connections (e.g. some mobile networks or a corporate firewall), the call may fail to connect and Talk will show a message that a TURN server might be needed. Neither warning means your server is faulty. The service includes neither a High-performance backend nor a TURN server. If you have your own, you can enter them in the Talk administration settings (the TURN server must support shared-secret authentication, e.g. coturn or eturnal); we can also set up a TURN server for you as a custom order — write to us via "Report a problem".
Can I run my own service on the server or open another port?
No. You have a Nextcloud administrator account, but no access to the server's operating system — SSH access is not part of the service. From the internet your server accepts connections only on ports 80 and 443 (HTTP and HTTPS) — these carry all of Nextcloud, the desktop and mobile apps, and calendar and contact sync. We do not open other ports.
Can apps connect to external services?
Yes. We do not block outgoing traffic from the server, so apps can connect to external services themselves — e.g. a mail server, external file storage (SFTP, WebDAV, S3) or other integrations. You set up the outgoing mail server (needed, among other things, for email notifications, calendar invitations and password recovery via "Forgot password?") yourself in Nextcloud's administration settings. The exception is Windows/SMB shares (e.g. from a file server or a NAS): they cannot be connected, because the Nextcloud installation we use does not support SMB.
Can I download my data?
Yes. In the "My profile" dialog (the "Profile" button in the portal header) find the "Download your data" section and click "Download my data (JSON)". The file contains your account profile and every Nextcloud instance you own, including its snapshot and upgrade history.
How do I close my account?
In the "My profile" dialog use "Close my account" and confirm. We will schedule the permanent deletion of your account and every Nextcloud instance you own in 30 days, and confirm it by email.
Can this be undone?
Yes, at any point before the 30 days are up — sign in to the portal and click "Cancel deletion — keep my account". After that date the operation cannot be reversed, and the data on your servers is lost for good.
What am I accepting when I order?
The Terms of Service and the Privacy Policy — ticking the consent box is required, and both documents open straight from the order form.
Why is the portal asking me to accept them again?
When we update the Terms of Service or the Privacy Policy, you will see the "Please review our documents" dialog after signing in. The portal stays locked until you click "Accept".
What about the data processing agreement (DPA)?
It is not accepted by clicking in the portal — we sign it on request. Write to us via "Report a problem" if you need one.
I cannot sign in / the page will not open.
Check the server status in the portal — it should read "Running" — and make sure you are using the full address https://yourcompany.next.webdisk.io. If the status is "Suspended", see the sections on payments and email confirmation above. You cannot recover your Nextcloud password from the portal — the next question explains what to do instead.
I forgot my Nextcloud admin password.
The "Forgot password?" link on the Nextcloud sign-in screen only works when the account has an email address and Nextcloud has an outgoing mail server configured. A new server has neither — you set both yourself as the administrator. Without them Nextcloud will say that a message has been sent, but no email will arrive. What you can do:
For security reasons we only reset the password on a ticket sent from the portal, from the account that owns the server. You reset the password of a regular user of your Nextcloud yourself, as the administrator, in the "Accounts" section.
💡 To be able to recover the password without our help in the future, after your first sign-in add your address under Personal settings → Personal info → Email, and configure an outgoing mail server under Administration settings → Basic settings → Email server, then send a test message.
I can see a warning about an unconfirmed email address.
Click the activation link in the last message from us. If you do not have it or the link has expired, use "Forgot password?" on the sign-in screen — the new link will confirm your address too. If you run into trouble, write to us via "Report a problem".
The server status is "Needs attention".
Something went wrong during an operation on the machine. Self-service actions (including restoring from a snapshot) are blocked at that point — write to us via "Report a problem" and we will take a look.
The server does not respond to ping.
This is intentional — ping and traceroute from the internet to your server are blocked, so no reply does not indicate a fault. To check availability, open https://yourcompany.next.webdisk.io (or your own domain) in your browser. If the page does not open, check the portal: a status other than "Running" (e.g. "Suspended" or "Upgrading") explains the break; if the status is "Running", write to us via "Report a problem".
I have a different problem.
Use the "Report a problem" section in the portal: choose "Which server?", fill in "Subject" and "Details", attach a screenshot if it helps (JPG or PNG, up to 5 MB) and click "Open ticket". You will see your ticket number, and we will reply by email.
